Job Description

A blend of business operations, HR, Customer Success and administrative duties, the Operations Specialist is a strategic position responsible for supporting the operational foundation of our company, ensuring efficient operations. For the interested candidate, there is also the opportunity to work on Marketing and Sales related activities.

This role requires a hands-on approach, entrepreneurial mindset, and comfortability wearing many hats. The ideal candidate will thrive in a dynamic, fast-paced environment and is eager to take on the challenges and opportunities that come with scaling a startup.

Key Responsibilities

• Support the executive team in a wide range of responsibilities, from meeting management to coordination of strategic operations activities
• Manage timelines of upcoming initiatives supported by the Chief of Staff
• Work with the Chief of Staff to create & maintain employee handbook and policies
• Manage general employee HR functions such as reviewing/processing payroll, onboarding/off-boarding employees etc.
• Assist with general bookkeeping functions such as invoicing and reconciliation
• Lead recruiting & candidate sourcing functions including interviewing potential candidates
• Partner with the Chief of Staff to monitor the day-to-day operations, report on performance, and recommend actionable improvements, when necessary
• Contribute to the development, preparation and implementation of process improvements and procedures
• Assist in managing customer relationships (when needed) by developing strong rapport and building trust
• Use data-driven decision-making to define or adjust business processes
• Foster a collaborative and cohesive work environment, effectively communicating and collaborating with cross-functional teams

Requirements

• 1-3 years of relevant experience, preferably at a fast-paced, high performing start up
• Experience in people management, HR, or Admin
• Experience organizing projects and acting as the point of contact
• Experience optimizing and streamlining business processes
• Strong interpersonal and collaboration skills, with the ability to effectively communicate and work with internal teams and external customers
• You care about the details and hold yourself to the highest standard of work
• Comfortable with ambiguity and context-switching
• Ability to work independently, prioritize tasks, and manage time effectively to achieve goals
• A proactive mindset, with the ability to take ownership of tasks and seek opportunities for process improvement
• Quick learner with the ability to adapt to new technologies and industry trends
• Willingness to go the extra mile to meet tight deadlines and deliver results
